Key Responsibilities
- Prepare, review, and complete import–export documentation, including: Contract, Commercial Invoice, Packing List, B/L or AWB, COO, CQ, Insurance, License, etc.
- Review customs declarations submitted by customs brokerage service providers via the electronic customs system (VNACCS/ECUS) and monitor the customs clearance process.
- Classify HS codes for IT products; verify applicable tax rates and specialized management regulations.
- Handle procedures for commercial imports, project cargo, and temporary import–re-export / temporary export–re-import shipments (e.g. demo units, warranty, repair).
- Coordinate with forwarders, shipping lines, and airlines regarding bookings and vessel/flight schedules.
- Track shipment progress from overseas suppliers to warehouses or end customers.
- Work closely with overseas suppliers, Sales, and Technical teams to ensure on-time delivery for projects.
- Resolve issues arising, such as vessel delays, missing documents, or incorrect cargo information.
- Monitor and perform procedures related to import licenses, conformity / compliance certification, and specialized inspections (if applicable).
- Coordinate the preparation of documentation for post-customs audits, customs finalization, and internal audits.
- Stay updated on new regulations related to import–export activities, customs, taxation, and IT products.
- Review and reconcile logistics costs, local charges, taxes, and customs fees.
- Track import–export costs by shipment/ or project.
- Properly file and archive import–export documents in compliance with regulations.
- Prepare periodic reports on shipment status, customs clearance progress, and import–export costs.
- Work closely with internal departments, including Sales, Technical, and Accounting.
- Perform other tasks as assigned by management.
Qualifications & Skills
- University degree (majoring in Import–Export, Logistics, International Trade, Economics, or related fields).
- 1–3 years of experience in import–export operations at trading or IT companies.
- Preference given to candidates with experience in IT goods, equipment, or project cargo.
- Solid knowledge of import–export procedures, Incoterms, HS codes, and import–export taxes.
- Experience in electronic customs declaration.
- English communication skills, with the ability to read and write English and understand import–export documents.
- Proficiency in office computer software (Outlook, Word, Excel, PowerPoint, etc.).
- Strong coordination skills and ability to manage progress with multiple parties.
- Careful, responsible, and able to work under project deadline pressure.
- Proactive, flexible, and able to work well with internal departments.
- Honest and compliant with company regulations.
